How do I use Zoom with my booking pages?

The short version

Connect Zoom in Account settings under Integrations, then set a session type's location to Zoom. Each booking gets its own Zoom meeting in your account, and you can disconnect from Integrations or remove the app in Zoom at any time.

With Zoom connected, clients can book Zoom sessions through your booking pages, and Visualist creates the meeting for each booking in your Zoom account. This article covers connecting Zoom, using it on a session type, having Vai take notes, and removing the app.

Before you start

You need a Zoom account and a Visualist Core or Growth plan. Google Calendar is optional. If it’s connected too, each booking appears on your calendar with its Zoom link.

Connect Zoom

  1. Open Integrations. Open Account settings and go to Integrations.
  2. Connect Zoom. On the Zoom card, click Connect Zoom.
  3. Allow access in Zoom. Sign in to Zoom if it asks, review the permissions, and click Allow. You return to Integrations, where the card shows Connected and your Zoom email.

Visualist asks Zoom for three permissions: read your basic profile; create, move, and delete the meetings it makes for your bookings; and let Vai join those meetings on your behalf.

Use Zoom on a booking page

  1. Open a session type. Open Bookings from the sidebar, go to Session types, and open a session type or click New session type.
  2. Set the location to Zoom. Under Location, choose Zoom.
  3. Save. Click Save changes.

When a client books that session, Visualist creates a Zoom meeting in your account for the booking. You and your client get the link in the booking confirmation.

If the client reschedules, Visualist moves the same Zoom meeting to the new time, so the link doesn’t change. If the booking is canceled, Visualist deletes the meeting. If you delete the meeting yourself in Zoom, Visualist removes the link from the booking.

Good to know

On Zoom’s free plan, meetings end after 40 minutes. For longer sessions, use a paid Zoom plan.

Have Vai take notes

You can turn on the notetaker for a Zoom session type, the same way as for Google Meet.

  1. Open the session type. In Bookings, open the session type that uses Zoom.
  2. Turn on the notetaker. Under Vai notetaker, turn on Vai joins as notetaker, then click Save changes.

For each booking, Vai joins the Zoom meeting once you’re in it. Zoom only lets Vai in while you, the host, are in the meeting, and removes Vai if you leave. If you haven’t joined about 20 minutes after the start time, Vai doesn’t join. When Vai joins, it posts a message in the meeting chat so everyone knows the call is being recorded. After the call, Vai saves a note with a summary and the full transcript, named after the session and your client.

Remove the Zoom integration

You can remove the integration from Visualist or from Zoom.

Disconnect in Visualist

  1. Open Integrations. Open Account settings and go to Integrations.
  2. Disconnect Zoom. On the Zoom card, click Disconnect, then click Disconnect again to confirm.

Remove the app in Zoom

  1. Open your added apps. Sign in to the Zoom App Marketplace and go to Manage > Added Apps.
  2. Remove Visualist. Find Visualist and click Remove.

Either way, Visualist deletes your Zoom connection and the access tokens it stored. Meetings it already created stay in your Zoom account, but Visualist can no longer move or cancel them, so manage those in Zoom. New bookings on a Zoom session type won’t get a Zoom link until you connect Zoom again, so switch those session types to another location in the meantime.
